Description
Matrix Visual Solutions is the fastest growing LED rental company in the country. We specialize in large scale LED video screens for live events including concerts, special events, and top level corporate meetings.
Duties & Responsibilities (Administrative Assistant):
- Data entry into our Inventory management (R2) and CRM software (HubSpot)
- Greet customers and handle multiple phone lines
- Clerical work with Excel, PowerPoint, and Word
- Assist accounting staff with invoicing, credit card transactions, payroll, and customer billing
- Work with sales team to collect customer PO’s, set up new accounts, collect resale certificates from clients
- Build presentation materials for office meetings and client presentations
- Assist sales team and project managers with various tasks
- Update project calendar (Asana) to follow up and complete tasks on a strict timeline
- General clerical duties to include creating excel sheets, data entry, taking phone messages, answering and returning phone calls, assisting sales team, assisting accounting team
Requirements & Qualifications
- College Degree desired (Accounting / Business) or equivalent years of experience
- Highly organized, self-motivated and independent
- Ability to thrive in a fast-paced environment by leveraging strong multi-tasking, time management, and interpersonal skills
- Quick study, eager to learn
- Customer orientated
- Able to meet deadlines
- Strong attention to detail
- Team Player and willing to help other office departments when needed
- Prior office coordinator/clerical work experience
- Basic Microsoft Office: Excel, Word, PowerPoint
- Knowledge of AV / video production / live events industry is as plus
